Hordle Pavilion Bookings – Terms and Conditions

  1. All organisations should provide a copy of their own valid insurances and be prepared to provide a copy of valid risk assessments.
  2. All bookings are at the Hirer’s risk.
  3. Any documents (and payment if paying by cheque) should be sent by post or hand delivered to: Community Pavilion, Vaggs Lane, Hordle, Lymington SO41 0FP.
  4. If you wish to use outside space you must contact the Parish Council on 01425 611119.
  5. There are three hire sessions per day:  Morning until 12.30pmAfternoon 2.00 pm until 5.30 pm, and Evenings from 6.00 pm. Other times may be negotiated at our discretion.
  6. Charges per session are £45 for one area booked per session, and £80 for two areas booked per session.
  7. A returnable deposit of £50 is required by all parties.
  8. All bookings are subject to approval and cancellation by HCA if unsuitable.
  9. Evening bookings must finish by 11pm unless agreed in writing prior to event.
  10. Please allow for setting up and tidying up after hire of facilities within your requested times.
  11. Black rubbish bags must be removed from the premises.
  12. Should you require use of the outside area this must be confirmed with the Parish Office on  01425 611119.
  13. You will be given alarm and key safe codes prior to your event.
  14. Payment should be made by bank transfer where possible using your name as a reference to HCA, sort code 30-90-89, account number 45424668.  If you are paying by cheque, it should be made payable to Hordle Community Association and sent with a copy of your printed booking form to Community Pavilion, Vaggs Lane, Hordle, Lymington SO41 0FP.
  15. The Bar is subject to availability.
